As our partner agency continues to grow, the sales process is becoming more complex and fast-moving. From proposals and pipelines to meeting prep and CRM updates, there’s a lot to coordinate – and that’s where you come in.
We’re looking for a highly organised and proactive Sales Assistant to help keep things on track. You’ll work closely with the commercial and leadership teams, making sure sales activities are well-managed, deadlines are met, and everyone has the information they need to move forward confidently.
This role is all about creating clarity, bringing structure, and keeping momentum – so the team can focus on building relationships and delivering value to clients.
What You’ll Do
🛫 Own the Pipeline
Maintain and update all sales opportunities – new business, upsells, and renewals – within the CRM. Keep statuses accurate, next steps clear, and flag delays as they happen.
⏱ Chase Deadlines & Follow-Ups
Be the respectful-but-relentless “proposal police” – ensuring internal contributors deliver assets and inputs on time.
🧾 Pitch & QBR Prep
Coordinate pitch and QBR materials, including agendas, data, and decks. Make sure everything is in place at least two weeks before meetings.
🔍 Research & Intelligence
Monitor key accounts, hiring trends, procurement portals, and competitor activity to surface actionable insights for the sales team.
📑 Proposal Templating & Document Support
Standardise and format incoming briefs, and prepare lean 1-2 page proposal decks within 24-48 hours of briefing.
🧠 Bridge Sales & Marketing
Feed insight from sales into marketing efforts – shaping case studies, thought leadership, and content strategy.
⚙️ Refine Process
Improve playbooks, templates, and internal documentation. Drive retros, track reasons for wins/losses, and push toward better workflows and faster SLAs.
What Success Looks Like
- 100% of sales opportunities tracked with owners and next steps
- Proposals delivered within 48 hours
- Client emails responded to within 1 hour
- QBR materials issued ≥ 2 weeks before meetings
- Weekly Sales Scorecard shared by 10:00 AM every Monday
- Sales team regains 50% of time previously spent on admin
What You Bring
✅ 2+ years in sales operations, sales support, revenue coordination, or executive assistance – ideally in an agency, SaaS, or consulting environment
✅ CRM and project board experience (HubSpot, Salesforce, Trello, Notion, or similar)
✅ You follow up with confidence and never let tasks go stale
✅ Sharp written communication – you can draft client-facing emails and clean up decks
✅ Calm under pressure and thrives on deadlines
✅ Strong research instincts – you uncover and summarise insights fast
✅ Bonus points for experience in eCommerce, digital agencies, or media
✅ Most importantly: you’re ready to step in and make an immediate impact
